The most avoidable ordering error is requesting only “the 80 patch.” Both STAT and IontoPatch 80 carry an 80 mA·min electrical-dose rating and an SKU ending in 080. They are separate products, so that shorthand does not identify the required item.

These identifiers support ordering; they do not replace clinical selection. If an old invoice uses a different supplier’s item number, match the product name and package label before treating it as an equivalent SKU.
Does “80” mean 80 patches in the box?
No. IontoPatch 80 is a model name associated with its electrical-dose rating. The listed box contains six kits. Similarly, the 120 in the Extra Strength SKU does not mean 120 patches.
Is a box the same as a case?
Do not assume so. Specify boxes and kits per box on the order. If a quotation uses “case,” ask for the number of boxes in that case and the total kits before approving it. A shipping carton is not necessarily a standardized purchasing unit.
Write a purchase order that can be checked without interpretation.
Give each model a separate line. Include both the ordering unit and the total kit count so purchasing and receiving staff can catch a unit mismatch.

An unqualified quantity such as “18 IontoPatch” could mean 18 individual kits or 18 boxes. Use wording such as “3 boxes × 6 kits per box = 18 kits” instead.
Add the clinic’s internal order reference, delivery location, receiving contact, and required arrival date. If ordering for multiple locations, allocate each model by destination and confirm the supplier’s shipping arrangements before assuming that one order can be split.
When your facility has requirements for remaining shelf life, partial shipments, or substitutions, state them in the order request and obtain confirmation. Listing a requirement does not mean the supplier has accepted it.

Keep a separate stock record for each model
A combined count of “iontophoresis patches” can hide a shortage of the particular model a clinician needs. Keep STAT, 80, and Extra Strength on separate inventory lines.

How many boxes should a clinic reorder?
Start with the target number of kits needed for the chosen planning period, including the reserve your clinic has decided to maintain. Subtract stock that will actually be available for those needs.
Net kits to order = target kits − unallocated usable stock − confirmed incoming kits available in time.
If the result is positive, divide it by six and round up to the next whole box. If it is zero or negative, this calculation does not call for another order.

After the existing and new orders arrive, this example provides 32 kits against a target of 29. Check that the additional three kits fit expected use and remaining shelf life. These numbers illustrate purchasing arithmetic, not a treatment schedule or promised delivery time.
Only count an incoming shipment if its timing meets the need. A backordered box with no dependable arrival date should not be treated as ready stock. Record confirmed partial receipts against the original order so a second staff member does not reorder the same outstanding quantity.
Review stock more often when demand or lead time changes. A fixed calendar reminder is useful, but it should not override an unexpected shortage in one model.
Check the delivery before adding it to available inventory.
Use the approved order as the receiving reference:
- Match product identity. Compare the full model name and SKU on the package with each order line.
- Count the purchasing units. Confirm boxes received, stated kits per box, and any quantity still outstanding.
- Inspect condition. Separate damaged or questionable packaging for review before clinical use.
- Record lot and expiration details. Compare remaining shelf life with any requirement the supplier agreed to meet.
- Update availability. Enter accepted stock by model and location, keeping any held items separate.
A discrepancy should be resolved before changing the item record to make it match the shipment. Retain the order reference and packaging details when contacting the supplier.
Rotate suitable stock by expiration date. Do not assume the most recently received shipment always has the latest expiration date or that a general manufacturer shelf-life statement describes the remaining life of a specific delivered lot.
What else needs to be arranged before treatment?
IontoPatch kits include the patch’s power source and saline for preparation, but medication is supplied separately. Purchasing staff should confirm that the clinical team has arranged the prescribed medication through the appropriate source. A patch delivery alone does not complete every treatment requirement.
A separate controller and lead wires are not required for IontoPatch. If a requisition instead names wired electrode kits or ACTIVApatch, verify the intended system before fulfilling it. Clinic ordering questions
Can STAT replace IontoPatch 80 if one is unavailable?
Do not substitute automatically. They are distinct models despite the shared 80 mA·min rating. Have the responsible clinician approve any model change, then update the requisition and inventory record.
Should a clinic buy all three models?
Stock the models required by its clinicians and actual caseload. Carrying every variant can create unused inventory without solving the shortage that matters.
Do six kits mean six patient visits?
No. Six kits describe the supply quantity. Patient visits, applications, and treatment schedules depend on the clinical plan; they should not be inferred from box size.
